Position Summary

The Site Administrator plays a crucial role in managing daily on-site operations, maintaining office inventory, and supporting various administrative functions. This position ensures the smooth operation of front office activities while providing critical support to senior leadership at the location. The Site Administrator fosters a professional and welcoming environment while upholding the Provalus mission of rural revitalization and community engagement .

Key Responsibilities

  • Act as the primary on-site representative, promoting a world-class organizational culture .
  • Oversee and coordinate all administrative functions at the site.
  • Monitor lobby traffic .
    • Ensure employees are scanning badges for building access
    • Provide assistance to guests visiting the facility
    • Manage local deliveries to the facility
  • Maintain office inventory , ensuring adequate supplies of approved items and overseeing procurement.
  • Independently plan, prioritize, and coordinate client site visits , including:
    • Liaising with management to understand client needs.
    • Arranging gifts, meals, snacks, and presentation materials.
  • Provide administrative support to the HR Manager and Recruiting Team for Tech Foundry attendees as needed .
  • Maintain and update the employee directory and seating assignments .
  • Coordinate and execute local company events , such as:
    • Corporate parties.
    • Employee meals.
    • Outdoor activities.
    • Special on-site events.
  • Participate in special departmental projects as needed.

Qualifications & Experience

  • Minimum of two years of experience in administrative roles or office management.
  • Proficiency in Microsoft Office Suite .
  • Strong decision-making abilities, dependability , and excellent time management skills.
  • Exceptional communication and organizational skills with the ability to multitask effectively.

 

 

Education

  • Associate degree preferred, or equivalent relevant experience.
